I want our entire missions-trip process mapped and fully automated inside Planning Center, from the first expression of Interest all the way through Discipleship. My top priority is having the system itself built correctly; once that backbone is in place we will move to training and documentation.
Scope of the build
• Configure lists, forms, workflows and pipelines that walk a participant through Interest → Application → Approval → Payment → Trip → Follow-up → Discipleship.
• Create automated notifications at the three critical hand-offs I’ve identified: Interest → Application, Approval → Payment, and Trip → Follow-up. Messages must be customizable and trigger reliably.
• Produce custom reports for leadership to monitor funnel health, financial milestones and post-trip engagement.
• Integrate Planning Center with our existing tools (email marketing platform, accounting software, and Slack) so data flows without double entry.
After the build
• Run a live, screen-share training session for my staff so they can own day-to-day management.
• Deliver a step-by-step written guide (PDF or Google Doc) that mirrors the exact configuration and includes screenshots, field definitions and troubleshooting tips.
Acceptance criteria
1. A test applicant can move through every stage with the correct automations firing.
2. Reports display real-time data with no manual refresh required.
3. Integrations pass data bidirectionally without errors.
4. Team confirms in training that they can add a new trip and adjust automations using the documentation alone.
